Frequently Asked Questions

To make your visa appointment online, please follow the instructions below:

•   Click the word Calendar on the bottom of this page.
•   Click the preferred month.
•   Click the preferred day and time.
•   Fill out the registration form and click submit.
•   Within minutes you will receive an e-mail with a link to confirm your appointment. Click this link within 6 hours, otherwise the appointment will be cancelled.

Please note:

•   You can make only one appointment for the same trip.
•   You can make appointments maximum three months in advance.
•   The validity of your passport must exceed six months after departure, otherwise you can not make an appointment (also not by phone).
•   Your confirmation e-mail has a link to our website, where you can find all the specific requirements for your visa-type and the important details.

To change or cancel an appointment, please do the following:

•   Send an e-mail to us in which you mention your name, passport number, date of travel and time of appointment.
•   After receiving a reply that your appointment was cancelled, you can make a new one.

What is the Online Appointment Booking System?
The Appointment Booking System is created with and for Embassies and Consulates to help manage the flow of visitors to these institutions to receive visas, passports, legalizations or other official documents. It does so by offering a highly configurable online calendar that can be integrate into your website. By manipulating this calendar you can set a limit to the maximum number of visits you have in a certain time slot.

Who uses it?
The Online Appointment Booking System is being used by over 40 embassies and consulates worldwide for over 3 years now. The system is being used in every continent in the world and in a wide variety of languages, including Russian and Chinese. Examples of our clients include the Dutch Consulate in Guanzhou, the Dutch Embassy in Kazachstan and the Hungarian Embassy in Moscow. (Please have a look at these users by clicking on the names.)

How does it work?
The system is offered to you as a hosted solution, which means that you do not need any technical knowledge or infrastructure to host it. We can have the system set-up, configured and implemented in your website in 2 weeks and we remain responsible for it. For this purpose you will get access to our Helpdesk that will support you with questions you might have.

The system consists of two parts:

1. The front end

This is the part that will be integrated in your website, you are now actually on the first page of the front end of our demo system. To see more detail please follor the link 'Calendar' at the bottom of this page.

2. The Administration Module

This is the part that you and your emplyees will work on to manage people visiting you and to configure the calendar.

Can it be integrated with our internal Visa Application System?
The Online Appointment Booking System can be integrated with your central Visa Application System. The major advantage of this will be that the Applicant will be responsible for all data entry, saving you a lot ofata entry time and making him or her responsible for the correctness of the data.

Integration into the Visa Application System can be done in a later stage also and needs the involvment of your central IT Department.
